There is an ongoing need for religious communities to obtain legal and consultation services that respect the unique nature of the religious community. We have established a reputation among religious communities for providing quality service on a variety of legal issues and strategic planning and organization.

The Executive Assistant will assist with an extensive variety of project- and case-related support and executive assistant tasks.


* Manage and maintain schedules, project timelines and calendars

* Schedule and organize onsite and offsite meetings, consultations, conferences, speaking engagements, and events.

* Coordinate domestic and foreign travel including accommodations, flights, car rentals, public transport, pickup and accommodation by client; prepare travel itineraries and materials for meetings during travel, important numbers, locations and contact names for events/meetings. 

* Interface and establish ongoing positive business relationships with clients in person, by phone and/or email. Observe legal ethics and confidentiality of lawyer-client relationship. 

* Answer and screen calls, field inquiries, relay messages, respond promptly to client needs; responds to email and voicemail as soon as possible (and no later than the following business day). 

* Create, format, edit, proofread and manage LibreOffice documents, spreadsheets and presentations. Print and/or transmit via email as requested.

* Maintain and update website as an information portal. Support quarterly newsletter and webcast. 

* Research, propose and implement software solutions for office management.

* Draft routine correspondence, forms, etc. 

* Assist with Marketing and Business Development functions to include: 

----Maintain and update marketing materials (lawyers’ biographies, brochures, practices at a glance) 

----Open new clients and matters following procedures. 

* Track projects, review documents, filing, copying. 

* Maintain client, administrative and personal records, manage cloud storage.

* Track, organize and process ZohoInvoice reports, reimbursements and check requests.

* Perform special projects and other related duties as required and assigned. 


* College degree in relevant field.

* Respect for and understanding of Religious Life in the Roman Catholic Church, of Canon Law and Civil Law.

* Work experience as an executive, administrative or project assistant or relevant field. 

* Self-starter, adapts to changes in work environment and manages competing demands. 

* Strong computer, technical, remote meeting, organizational and administrative skills. 

* Exhibits sound and accurate judgment; supports and explains reasoning for decisions; includes appropriate people in decision-making process; and makes timely decisions. 

* Proficient in LibreOffice Suite, Google apps, and Web Site maintenance.

* Ability to work flexible and fluctuating hours, and ability to work remotely and in person.
